The 3 QuickBooks Online Setup Mistakes I See Most

QuickBooks Online is powerful — and easy to set up incorrectly. As a Gold ProAdvisor, most of the cleanup projects that land on my desk trace back to one of three setup mistakes.

Mistake 1: Using the default Chart of Accounts. QuickBooks ships with a generic list that rarely matches how your business actually earns and spends money. A tailored Chart of Accounts turns reports from noise into insight.

Mistake 2: Skipping bank feed rules. Manually categorizing every transaction wastes hours a month and invites inconsistency. Well-crafted bank rules do the heavy lifting reliably.

Mistake 3: Not reconciling from day one. Reconciliation is the single most important habit in bookkeeping. Skipping it — even for a few months — means your reports quietly go wrong.

The fix for all three is the same: a proper setup at the start, or a focused cleanup before you go any further. Either way, you end up with books you can actually trust.
